Urban Student Life Terms and Conditions – Version [2.3] February 2021


    1. The tenant must have a valid tenancy agreement of thirty (30) weeks or more (unless stated otherwise) and have paid the rent due under the tenancy agreement, without any outstanding rent or other sums due to us or the landlord to be eligible to receive any incentive or promotion.

    2. Withdrawal from the tenancy agreement at any point invalidates all promotions and/or offers and any promotional credit paid, or value of goods given, may be recovered either through cash repayment or from the tenant’s deposit.

    3. For a promotion, offer or other incentive to be valid, the tenant must have complied with all obligations set out in the tenancy agreement or otherwise.

    4. In order for a promotion, offer or other incentive to be claimed, the relevant, valid, and correct promotional code must be entered by the tenant at the time of booking by either entering the code online or submitting the code to an authorised Homes for Students (“HFS”), Prestige Student Living (“PSL”), Essential Student Living (“ESL”), Urban Student Life (“USL”) and/or UKStudenthouses.com (“UKSH”) employee, who is taking the booking. HFS, PSL, ESL, USL and UKSH, as well as any other trading name or brand of HFS shall hereby be collectively referred to as HFS. A code submitted after the time of booking will not be valid. HFS accepts no responsibility for codes not received by us.

    5. If a promotion, offer or other incentive has been claimed and includes the payment of cashback or some other form of financial payment, it is the tenant’s responsibility to ensure the correct payment information is provided to HFS in order for HFS to complete the promotion, offer or other incentive and HFS has no liability for non-payment or non-delivery of any incentive, promotion and/or offer due to incorrect details being provided by the tenant. Any such payments sent to the incorrect bank account will not be recoverable and/or will be subject to a recovery fee.

    6. HFS will use reasonable endeavours to reach the tenant to request information to allow it to make payment, fulfil the promotion or offer, or apply the discount. If such information is not received, HFS reserves the right to issue an alternative, or withdraw the incentive, promotion and/or offer at its absolute discretion.

    7. Promotions, offers, or other incentives are non-transferable.

    8. Goods and vouchers issued by HFS have no value, are non-transferable and cannot be exchanged for cash or anything else.

    9. The time between correctly accepting any promotion, offer or other incentive and it being credited to your account and/or delivered may vary. HFS shall not be liable for any delays in this regard or for any consequences of any delays, which may occur.

    10. Promotions, offers and/or incentives cannot be used in conjunction with any other promotion, offer and/or other incentive. Attempting to use multiple promotions, offers and/or incentives can result in all promotions, offers and/or incentives being withdrawn.

    11. All promotions, offers and/or incentives are subject to availability and HFS has total discretion as to whether to honour a promotion, offer and/or incentive or not.

    12. HFS reserves the right to amend the Terms, the parameters of any promotion, offer and/or incentive or to discontinue any and all promotions, offers and/or incentives at any time, without notice.

    13. Claiming any promotion, offer and/or incentive implies acceptance of the Terms.

    14. Certain promotions, offers and/or incentives are unavailable at certain properties.

    15. HFS has sole discretion to withhold the payment and/or delivery of any promotion, offer and/or incentive if the Terms have not been complied with, or for any other reason.

  • If you book your accommodation with Urban Student Life, you may receive a booking incentive.

    • Should the student withdraw from their contract at any point during the contract term, the value of the booking incentive is repayable by the student and may be recovered from any deposit paid.

    • Not in conjunction with any other offer.

    • Subject to availability.

    • All booking incentives are only applicable to ‘full year’ bookings longer than 40 weeks.

    • Student must be able to prove they are studying nursing or other relevant medical course, eligibility is subject to property manager approval.

    1. The Promoter
    The promoter is: Homes for Students Ltd, The Innovation Centre, Hornbeam Park, Hookstone Road, Harrogate, HG2 8QT.

    2. The Promotion
    2.1. The title of the Promotion ss Grab & Grand Giveaway & £20 voucher for each booker throughout February 2021.
    2.2. Any student who books or rebooks their accommodation from 00:00 on 1st February 2021 to 23:59 on 28th Feb 2021 will automatically be entered into the Grab a Grand Giveaway.
    2.3. Bookers throughout February 2021 will also receive a £20 Love2Shop E-Voucher within 5 days of completing their booking (deposit paid and tenancy agreement electronically accepted/signed).
    2.4. Love2Shop vouchers will be issued on a first come-first-served basis and are subject to availability and budget cap. Once the cap per property is reached, this part of the Promotion will cease. The Amazon voucher draw remains unaffected.

    3. How to Enter
    3.1. The Promotion will run from 00:00 on 1st Feb 2021 to 23:59 on 28th Feb 2021 (the Promotion Period).
    3.2. Students making a booking for 2021-22 academic year during February 2021 are automatically entered into the Grab a Grand Giveaway Promotion.
    3.3. A ‘booking’ is where a deposit has been paid and a tenancy agreement signed or electronically accepted online.

    4. Eligibility
    4.1. Students must have paid their deposit and electronically accepted/signed a tenancy agreement for a 2021-22 academic year booking to be eligible to win one of the five £1000 vouchers.
    4.2. The winners of the competition must have paid rent due in accordance with their tenancy agreement before their prize will be issued.
    4.3. The winner of the competition must live in a property managed by Homes for Students Ltd.
    4.4. Winners must give unconditional permission for their names and photograph images to be used in any promotion as prescribed by the Promoter.
    4.5. Students who have debt outstanding from any previous bookings are not eligible to win.

    5. Prizes
    5.1. There are 5 main prizes available in the Promotion across all Homes for Students Ltd PBSA brands stated in point 2.5.
    5.2. There are 5 prizes of a £1,000 Amazon voucher.
    5.3. There is no cash alternative for the prize.
    5.4. The prizes will be supplied by the Promoter.
    5.5. The Promoter reserves the right to substitute the prize with an alternative prize of equal or greater value if circumstances beyond the Promoter's control makes it necessary to do so.
    5.6. The prize is not negotiable or transferable.
    5.7. Winners must respond to the email/phone call notification that they are a winner within 7 days. The Promoter will use all reasonable endeavours to contact the winners. Students booking for the 2021-22 academic year during the Promotion Period will receive a £20 Love2Shop voucher, subject to availability and budget cap. Love2Shop vouchers are issued on a first come-first served basis and this part of the Promotion will cease when the budget cap is reached.
    5.8. Prize List
    a. 5 (five) £1,000 Amazon Vouchers
    i. issued to the winner after rent due in accordance with the tenancy agreement has been paid and subject to the eligibility criteria.
    b. £20 Love2Shop voucher1st come 1st serve basis/subject to availability.
    i. The voucher will be issued as an e-voucher code once the 2021-22 academic year booking has been completed (deposit paid and agreement accepted/signed).
    ii. The e-voucher code will be issued within 5 days of the booking being completed (deposit paid and agreement accepted/signed).
    iii. Each property has a budget cap; once the cap is reached no further £20 Love2Shop vouchers will be available at that property.
    iv. Other booking incentives (eg. cashback) will still apply where this is stated.
    v. Eligibility for any other applicable promotions will continue throughout the Promotion Period.
    vi. If the booking is cancelled at any point, the value of the Love2Shop voucher will be deducted from the student’s deposit.

    6. Winners
    6.1. The promoter will contact each of the 5 winners personally via email and phone and will make all reasonable endeavours to contact the winners.

    7. Claiming the Prize
    7.1. The prize may not be claimed by a third party on the winner’s behalf.
    7.2. The Promoter will make all reasonable endeavours to contact the winner. If the winner cannot be contacted, is not available, is not eligible, or has not responded to claim their prize within 7 of days of the initial contact, the Promoter reserves the right to re-draw the
    prize and offer the unclaimed prize to another prize draw participant.
    7.3. If the winner does not subsequently pay rent in accordance with the tenancy agreement, move in to the property, or becomes ineligible, the Promoter reserves the right to re-draw the prize and offer it to another prize draw participant.
    7.4. The Promoter does not accept any responsibility if an individual is not able to take up the prize, if the notification is not received within the allotted time limit, or for any other circumstance that prevents the winner claiming the prize.

    8. Data Protection and Publicity
    8.1. The winners’ names and accommodation name will be utilised on Homes for Students Ltd’s social media and other promotional channels.
    8.2. The winners’ social media handles will be used on Homes for Students Ltd’s social media and other promotional channels with permission from the winner.
    8.3. By claiming a £1000 Amazon voucher, the winner agrees that their data may be used in this way.

    9. General
    9.1. The Promoter reserves the right to hold void, suspend, cancel, or amend the prize competition where it becomes necessary to do so.
    9.2. The Promoter’s decision is final.

    3.1 Any student that rebooks a room at Canterbury Student Village will automatically be entered into the prize draw. A ‘booking’ is a tenancy agreement accepted online and deposit paid.

    4.1               Students must have paid their deposit and electronically accepted/signed a tenancy agreement in order to be eligible to win the prize.

    4.2               The winners of the competition must have moved into the property and paid any rent due before their prize will be presented. winners give unconditional permission for their names and photograph images to be used in any promotion as prescribed by the promoter.

    5.1               There is one prize and only the property stated in point 2.3 is included.

    5.2               Each bundle consists of a variety of items which are listed in point 5.8.

    5.3               Prizes are subject to availability. There is no cash alternative for the prize.

    5.4               The prizes will be supplied by the Promoter.

    5.5               The Promoter reserves the right to substitute the prize with an alternative prize of equal or greater value if circumstances beyond the Promoter's control makes it necessary to do so.

    5.7               In order to claim the prize, you must respond to the email/phone call notification informing you are one of the selected winners within 7 days.

    7.4               The Promoter does not accept any responsibility if you are not able to take up the prize, if you do not receive the notification within the allotted time limit, or for any other circumstance that prevents you claiming the prize.

  • 1.1 Booking Options
    There are three options for booking accommodation with Urban Student Life (USL):

    1.1.1 Web Direct
    To make a booking online, you will need to select the property and room type you wish to book and follow the on-screen instructions to complete your booking. You will be completing an electronic Assured Shorthold Tenancy Agreement (AST), and during this process you will need to supply all relevant documentation. Your window of time when booking online will be limited to four (4) hours from the start of the booking process to complete the AST; this applies to you and your UK Guarantor (if applicable). If you do not complete the AST in this time, it will be deleted and you will need to restart the booking process.

    1.1.2 Via Accommodation Team
    To make a booking, you are required to select your room type via our accommodation page. Once we have received your enquiry, you will be invited to complete an electronic AST, which will be issued to the email address you have provided. You will be required to provide all the relevant information requested during your online tenancy application. You will have up to 7 calendar days, or 2 calendar days during peak times, to complete your AST (the expiry date will be shown on your application). If you or your UK Guarantor (if applicable) have not signed and provided the requested documents, your AST will be cancelled.

    1.1.3 Third Party Agent
    To make a booking via a third party agent, you will need to follow their booking process. When the third party agent has processed your booking, you and your UK Guarantor (if applicable) will be required to complete an AST, which will be issued to the email address provided during the agent booking process. You will be required to provide all the relevant information requested during your online tenancy application. You will have up to 7 calendar days to complete your AST (the expiry date will be shown on your application). If you or your UK Guarantor (if applicable) have not signed and provided the requested documents, your AST may be cancelled.

    Please note that third party agents may require you to pay booking/application fees direct to them, as well as subscribe to their own terms and conditions and USL shall have no liability for refunds of application fees paid to third party agents. Check with the agent you are booking with for this information. USL shall have no liability for the conduct of any of the third party agents you have chosen to book through.

    An AST is a legally binding document, and tenants and UK Guarantors (if applicable) should read this document carefully before agreeing to the terms of the agreement.

    1.2 Acceptable documents during Tenancy Application:

    Tenant

    • Identification: passport, driving licence or photographic national identity card

    • Student status: valid student identity card or offer/acceptance letter from university/college


    UK Guarantor

    • Identification: passport, driving licence or photographic national identity card

    • Proof of income: pay slip or bank statement (showing incoming salary)

    • Proof of address: mortgage statement or utility bill


    All acceptable documents must be in English. USL reserves the right to reject any documentation that is not in English, or that is unclear.

    All booking applications are subject to passing Right to Rent Checks. For more information, see www.gov.uk/landlord-immigration-check.

    USL will review your signed AST and email you a countersigned AST confirming your booking. A member of the accommodation team will contact you if we are unable to countersign the AST, and they will inform you of the reason(s) why.

    1.3 Booking Fee
    To book a room, create an online account and select ‘book now’. You can choose the property, your room and the required tenancy length, then pay your deposit and accept the room offer within a few minutes.

    If you have any special requests or requirements please use the 'create application' route instead.
  • You have two payment options:
    1. Pay in full
    2. Instalments

    Direct Debit For all our properties, we request you set up a Direct Debit from a UK bank account. A Direct Debit mandate will be sent with your AST and rent payment schedule. There is no charge for this service.

    Payments via Credit or Debit Card

    It is the tenant’s responsibility to ensure funds are available to cover rental amount(s) in line with published payment terms (see 2.1 Instalment Schedules); we strongly recommend that you apply for Student Finance well in advance if you are relying on this to cover rental amount(s). Non-payment will be treated in line with the USL debt collection procedure (details of which are available on request).

    2.1 Instalment Schedules

    Payment in Full

    This will be taken in August, or if booked in or after August, prior to the AST start date.

    Payment in Instalments (requires a UK Guarantor)

    If you have a valid UK Guarantor, you can choose to pay your rent in three instalments, which are due in September, January and April.
    If you don’t have a valid UK Guarantor, you are required to pay the full rent in August, 1 month prior to your contract start date.
    Please note you must have paid the rent due by the time you arrive to check in.
  • If you wish to secure your accommodation with us and you are planning to pay your rent in instalments, we ask that you provide a qualified UK Guarantor. A Guarantor is a responsible person who agrees to pay any outstanding rent and associated rent recovery costs for the tenant for whom they are acting as Guarantor, should the tenant fail to keep up with the rent payments for the accommodation. The agreement is a legally binding document and should not be signed lightly.

    Providing a Guarantor is common practice in the UK and provides USL with the security and knowledge that the rent will be paid in full.

    USL will carry out all necessary credit checks as prescribed by law and will reserve the right to reject nominated Guarantor applications if the requested information is not provided and the nominated Guarantor does not meet the minimum requirements. The minimum requirements for a Guarantor are:

    • UK resident for a minimum period of 3 years with permanent address in the UK

    • In full-time employment (earning a minimum of thirty [30] times the tenant’s monthly rent)


    “Housing Hand” can act as your guarantor if you do not have a qualified UK Guarantor. The Housing Hand guarantor service can be selected during your tenancy application. For more information on Housing Hand, please visit www.housinghand.co.uk 
  • 4.1 Cancellation cooling off period(s)
    If you choose to cancel your booking with USL, you will have 5 calendar days after signing your AST to do so.

    If you made your booking fewer than 5 calendar days before your AST start date, you may cancel your booking until the earlier of (a) 5 calendar days after signing your AST, or (b) the date you actually check in.

    You may request to cancel your booking by sending an email to salesenquiries@urbanstudentlife.com

    USL will refund your deposit (less a £50.00 fee) within 7 calendar days of accepting your cancellation. International bank transfers can take longer to process funds and incur a transfer fee.

    4.2 Cancellations after the cooling off period(s)
    You will not be able to cancel your booking after your cooling off period has ended. You and your Guarantor (if applicable) will be required to meet the obligations set out within your AST.

    4.3 Cancellations after you have moved into the accommodation
    We hope you speak to our local property manager if you are thinking about leaving your accommodation. If you do decide to leave your accommodation during your contracted term, the landlord may agree to release you from your contract, providing the conditions set out below are met:
    • You provide sufficient evidence to support your cancellation request.
    • You make your cancelation request in writing.
    • You find a suitable replacement (who must be enrolled as a full-time student at a local university or college) to take a new tenancy agreement for your room for the remaining period of your contract.
    • The incoming tenant must enter into an AST with USL, providing the relevant requested documents, and where relevant also providing a suitable UK Guarantor.
    • Refunds due will not be processed until the incoming tenant taking over the contract has signed the AST, paid and moved into the accommodation.
    If you fail to find someone to take over your tenancy, you and your guarantor (if applicable) will be responsible for paying the full rent until the end of your contracted time at the accommodation. You will also remain liable for the rent payment until the new tenant’s AST starts.

    4.4 Cancellations by USL or the Landlord
    Our terms and conditions require you to sign your AST within the period specified on your electronic AST. If you and your Guarantor (if applicable) fail to sign your AST within this timescale, your AST will be automatically cancelled.

    USL retains its right to cancel your AST and retain your deposit should you fail to provide a suitable guarantor for your tenancy on more than 2 occasions.
    If for any reason USL is not able to offer you accommodation once your AST is fully signed, we will contact you as soon as possible detailing the reasons why, or offering an alternative solution on terms sufficiently similar than the ones already agreed upon. The accommodation will be in the same building, or if not possible, then a suitable alternative accommodation will be provided in an adjacent building or, in any event, in a building as close as possible to the original building. If we cannot offer a suitable alternative, we will refund all monies paid to USL. Should you unreasonably decline the alternative accommodation, you can find a suitable replacement tenant to take over your tenancy and you and your Guarantor (if applicable) will remain liable for the rent payment until such time.

    4.5 First-year students who do not get a place at university: “No Place, No Stay”
    This offer is applicable to undergraduate first-year students only.

    If you are a prospective first-year undergraduate student, and your offer of a place at your preferred university/higher education institution is withdrawn, you may be eligible to receive a refund of your deposit minus a £50 fee.

    You may also be eligible to cancel under “No Place, No Stay” if you choose to go to a different university in a city that does not have availability in a USL property. Where you have been accepted in university in a city where USL has availability in a property, your booking will be transferred to that property.

    To cancel under “No Place, No Stay”, you must supply either (a) a copy of a written rejection letter from your chosen university/college; or (b) a copy of the acceptance letter from a new university. This must be received by USL (bookwithmwe@urbanstudentlife.com) within 5 calendar days of the date on which you have requested a cancellation. On receipt of the required documentation, provided it is satisfactory, the agreement will be cancelled with a refund of your deposit, minus a £50 fee.

    4.6 Room Moves
    We do not offer room moves once you have checked in. Nevertheless, in very limited circumstances and depending on availability, we may allow a room move. If you wish to change rooms, please contact the on-property team to discuss your requirements. If you are upgrading to a higher standard of room, you will have to agree to any uplift in rent. There is a £50 fee for changing rooms.
